Emails

You will get lots of them!! Some will be funny and some will be hateful -- try not to take anything personally. The commodore@washingtonyachtclub.org account should be signed up for all lists (except Racing Team), and can post on all of them (including Racing Team). The Racing Team sends a lot of emails that aren't relevant to WYC at all. If you wish to be on their list, feel free to subscribe, but I found that it wasn't really worth my time. I got plenty of emails as is.

Please do NOT use your private email for  yacht club stuff. This email account is our way of building continuity in a club with rotating officers, and also keeps all correspondence saved in one place. Having these emails is extremely valuable resource. After I am done with an email I "archive" it, which means it is removed from my inbox, but it still browsable/searchable :)

The email lists are run through UW. They are a bit clunky, but it's what we have :) When people try to post to lists they are not allowed to (i.e. wyc_info or wyc_exec) you'll get an email informing you there is an email "waiting for approval." Most often people just don't realize they can't post on the list, and so I direct them towards the "wyc" list to post all of their questions to members. You'll need to manually delete or approve their post by going through the Admin acces (see below).

Chiefs List
There is a private email list maintained for Chiefs ONLY to use and view. It will use your private email address rather than the Commodore account, since not all Commodores are Chiefs. This list is maintained by Matt McAdam (mail@mattjm.com). Odds are he will subscribe you to the list after you are elected, but make sure that you and any new chiefs have been added since he may forget.

Admin
When each person subscribes to the list, they have an 'profile' type thing on that list. This is where you can set their options such as "not allowed/allowed to post" "hold their emails for reveiw." These options are changed through the Admin access for that list. Via Admin access you can also set global settings for the list, such as having ALL emails held for review before being released to the list. This is a good thing to take advantage if there is ever a firestorm on the list and posts are getting out of hand/rude/inappropriate.

Via admin you can also directly add/remove people from a list. When people have trouble subscribing/unsubscribing this is what I do.

When you have a new Exec member, you will also have to 'allow' them to post on "wyc_exec." This list is open for all people to join, but only execs can actually post. Odds are they are already subscribed to the exec list, but if not add them. Then go into Admin and change their option (search for the email address to bring up the 'profile) to "allowed to post."

Access
The admin interface for the email lists is through our MyUW account.Username: Sailing, Password: Please contact the previous Commodore forthis!

You can access the admin access for each list through our page of Email Lists. On the uwsail.org site in 2010, the link was:
http://sites.google.com/a/washingtonyachtclub.org/home/email-lists
Click on an email list and scroll down to the bottom. There is small blue link at the very bottom of the page.

Otherwise, you can just go straight here (the end of the URL indicates which list it is admin access for):
